Role Purpose :
• Provides high-level administrative support and assistance to the Senior Executive Director and/or other assigned
leadership staff.
• Performs clerical and administrative tasks including drafting letters, memos, invoices, reports, and other documents for
senior staff.
• Arranges travel and accommodations for executives.
• Independently manages and oversees the activities of the Senior Executive Director.
• Acts as a primary point of contact for both internal and external constituencies on all matters pertaining to the office of
the Senior Executive Director
Key Responsibilities :
• Serves as the primary initial point of contact on any matter directed to the Senior Executive Director; independently
researches and prioritizes incoming issues and determines appropriate course of action, referral, and/or response.
• Schedules meetings, conference calls, and interviews for the Senior Executive Director, including regular team meetings,
and provide administrative support to meetings (organize attendees, venues, and relevant catering requirements), advises
on conflicting events, confirms all appointments via email, and participates in the team’s planning processes
• Routes Email to appropriate party, retains a copy for follow-up, and closure.
• Receives incoming communication or memos on behalf of Senior Executive Director, reviews contents, determines
importance, and summarizes and/or distributes contents to appropriate staff.
All correspondence must be accurate and free from errors
• Develops and maintains databases, and office systems, including email and other electronic monitoring and filing
• Maintains timetables and ensures all deadlines are met within agreed time frames. Must be flexible and display initiative
in working on new tasks
• Communicate with the team and update the attendance sheet with business trips and leaves
• Coordinates the Senior Executive Director's schedule, ensures ample time for meetings and other projects, advises on
conflicting events, and carry out multiple rescheduling as necessary
• Ensures that there is a continuity of administrative support to the Senior Executive Director&rsquo's direct reports and manages
their leaves and always ensuring adequate coverage.
• Maintain all travel plans for the Senior Executive Director, flight bookings, and accommodation needs then submit all
expense claims for business trips for compensation
• Continuously update the telephone directory
Manpower Request• Demonstrates and assists in the understanding and interpretation of NEOM policies and procedures, as appropriate, and
ensures that office operations are in compliance with policy provisions and standards.
• Oversees the planning and coordination of key special events for the Director/Executive.
• Maintains and updates the weekly highlights report
• Keeps record of every document received in both hard and soft copies.
• Works on department’s presentations if required. make sure it follows NEOM Branding layout and it is error-free
• Organize and update all office and stationery needs and supplies.
Knowledge, Skills, and Experience :
• Excellent verbal and written communication skills.
• Excellent organizational skills and attention to detail.
• Excellent time management skills with a proven ability to meet deadlines.
• Ability to function well in a high-paced and at times stressful environment.
• Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
• Extremely proficient with Microsoft Office with the ability to learn new or updated software.
• Ability to work with limited supervision
• Analytical skills to understand and apply research and statistics in report writing and decision-making
• Organizational skills to manage records and data, and meet deadlines
• Advanced computer skills and experience with specific software and web-based systems, such as those used for
personnel management, report writing, and project management
Qualifications :
• Minimum 5 years’ experience as an Executive Assistant
• Bachelor&rsquo's degree in business Administration or other related fields.
Salary: As per the market rate
Working Hours: As per Saudi Labor Law
Contract Duration: 01 year
Vacation: 21 working days every year
